Patient Concierge Coordinator –
PRIVATE PLASTIC SURGERY CENTER

Capella Plastic Surgery | Ramsey, NJ | Full-Time, On-Site

$62,000–$72,000+ | Performance Incentive | Benefits

The Opportunity

Join a nationally recognized plastic surgeon and highly specialized aesthetic surgical practice where you will help shape the patient experience from consultation through surgery and recovery.

Capella Plastic Surgery is seeking an experienced, polished and highly organized Patient Concierge Coordinator who genuinely enjoys people, excels at relationship-based hospitality and sales, and can keep a busy practice moving efficiently.

Our private accredited surgical facility is located onsite in our Ramsey office. This is a high-touch, private-pay aesthetic environment — not a traditional hospital surgical-scheduling role.

What You'll Do

  • Patient Experience: Educate, guide and appropriately screen prospective patients throughout their surgical journey.
  • Consultation & Sales: Meet with patients to review procedures, pricing, deposits and surgical dates, and provide thoughtful follow-up that helps patients move confidently toward scheduling.
  • Surgical Scheduling: Manage scheduling on our private onsite surgical facility calendar and coordinate closely with the surgical team.
  • Pre-Op Coordination: Track labs, EKGs, imaging, medical clearances and other pre-admission requirements.
  • Patient Communication: Serve as a primary patient contact, answer non-clinical questions, triage concerns appropriately and help optimize Dr. Capella’s time.
  • Patient Satisfaction: Follow up after surgery to assess the patient experience, identify concerns and help ensure appropriate follow-through.
  • Clinical Support: Assist with patient flow and in the exam room as needed.
  • Technology & Brand: Maintain accurate documentation in ModMed EMR, use AI and technology to improve workflow, and assist with social media and occasional practice videos

What We're Looking For

  • 5+ years of relevant experience required, preferably in plastic surgery, medical aesthetics, cosmetic surgery, med spa, cosmetic dentistry or another high-touch private-pay environment.
  • People-Oriented: Warm, polished and genuinely enjoys building relationships.
  • Highly Organized: Efficient, detail-oriented and able to manage multiple priorities.
  • Excellent Communicator: Strong verbal communication and exceptional writing skills.
  • Hospitality/Sales Experience: Comfortable with consultative discussions and significant financial commitments.
  • Proactive: Takes initiative, follows through and solves problems independently.
  • Team-Oriented: Collaborative, positive and willing to step in where needed.
  • Tech-Savvy: Comfortable learning new systems, AI tools, social media and digital workflows.
  • Growth-Minded: Curious, adaptable and motivated to continually improve.
  • Experience with ModMed is a plus
